Executive Assistant

GENERAL STATEMENT OF RESPONSIBILITIES
The purpose of the Executive Assistant position is to provide executive administrative support for the President and CEO, as well as reception and general administrative functions for The EG, and its member organizations (APEX, BDDA, BLDFA, JCBRA, EDC, and the PLDFA), and other entities that retain the services of The EG. This includes, but is not limited to database management, research and demographic data, correspondence, scheduling appointments and meetings, making travel and catering arrangements, preparing monthly expense reports, assembling and sending board packets, and filing. It also includes attending Board Meetings (early morning and evening meetings each month) to take meeting minutes and type them for the file. General reception duties: greeting customers, answering phones, opening and distributing mail, receiving checks, preparing check logs, and various general office duties to support the Office Management role of the Vice President of Operations.


Qualifications and Skills:
The Executive Assistant has as a minimum of an Associate Degree or equivalent combination of education and experience; the ability to prioritize and manage competing priorities and deadlines; strong attention to detail and accuracy; ability to work in a fast-paced, high-stress team environment; excellent interpersonal skills; proficient computer skills in Microsoft Office Suite programs. Prior experience with the Salesforce contact management system is preferred. Individual must have superb customer service skills; be capable of maintaining confidentiality, and have the desire to learn and improve skills through training and other means necessary.


Specific Duties:
Assist with EG Project Management including but not limited to the following:
1)
Maintain President/CEO’s calendar, and assist with the organization in all areas, including managing the President/CEO emails, files, records, and board books.
2)
Provide EG Marketing oversight with the VP of Operations including but not limited to the upkeep of the organization’s website, and other related partner pages, responding to Requests for Information, preparing meeting PowerPoint presentations, and handling AV requirements, general marketing tasks, and social media communications.
3)
Provide database management for available land and buildings to include identifying, developing, and maintaining needed information for prospects.
4)
Provide database management for Salesforce, the organizational contact management database.
5)
Assist the VP of Economic Development with Retention-Growth Visit scheduling, and follow-up, data entry, and attending scheduled meetings for relationship-building.
6)
Assist VP of Economic Development in providing staff services to the Jackson County Brownfield Redevelopment Authority (JCBRA), Economic Development Corporation of Jackson County (EDC), Blackman Charter Township Downtown Development Authority (BDDA), Blackman Charter Township Local Development Finance Authority (BLDFA), and the Village of Parma Local Development Finance Authority (PLDFA), as needed.

Serves as The EG Capital Campaign liaison and maintains mailings, thank you letters, creating/distributing marketing materials, scheduling events and/or meetings, and tracking efforts to assist the VP of Operations, including, but not limited to, the preparation of Community Reinvestment Act (CRA) applications and submissions.

Works to maintain a positive image of The EG within the community and assumes a leadership role in fostering cooperation and coordination between all EG staff and member organizations. Upholds the utmost confidentiality.

In the process of executing his/her responsibilities, the individual seeks to create and maximize synergies between their program area of responsibility and the other EG member organizations.
3.
Performs other activities and duties as may be assigned by The EG President and CEO.
